1. What does Mentorix use personal data for?
Mentorix asks for your personal and user-related information when you sign up for our newsletters, competitions, webinars, events, etc. It is primarily information such as name, address, postal code, e-mail, phone number, job title, etc. but can also be health information in connection with a registration for an exam, where it is possible to be allocated extra time by presenting a valid medical certificate. When purchasing or registering for a service, mandatory information is clearly marked on the form. Providing other information in connection with the purchase or registration for a service is voluntary
The information will not be disclosed to third parties unless you give separate consent or the Personal Data Act exceptionally allows the disclosure of general customer information.
If you have consented to receive direct marketing with news and offers etc. we may also use the information collected to target the marketing you receive via email.
2. Protection of personal data
According to the Personal Data Act, your personal information must be kept secure and confidential. We store the personal information you provide on computers with limited access, located in controlled facilities, and our security measures are continuously monitored to determine whether our user information is handled securely, while still respecting your rights as a user.
However, we cannot guarantee 100% security when transferring data over the internet. This means that there is a risk of others gaining unauthorized access to information when data is sent and stored electronically. Please note that you provide your personal data at your own risk.
3. Changes in the processing of personal data
The rapid development of the internet means that changes in our processing of personal data may become necessary. We therefore reserve the right to update and change these guidelines for the processing of personal data. If we do so, we will of course correct the “last updated” date at the bottom of the page. In the event of significant changes, we will notify you in the form of a visible notice on our websites.
4. Complaints and Appeals
Students may file complaints with any Mentorix employee. All complaints are followed up immediately by the Mentorix course administrator (role) and escalated to management and/or the head trainer if necessary.
The course management section handles complaints by following the following steps:
1- Receiving complaints: by sending an email to the client to make sure we have received their complaint.
2- Checking complaints: the administration must check the details of the complaints; if all information is included (name, email and relevant documents… etc.).
3- Quick response: the administration should handle complaints within 24 hours of receipt.
4- Responsibility: The person/role responsible for handling the complaint will be notified by the course administrator after consultation with the CEO.
5- Response: sending a reply to the complainant about the deadline for resolving the issue.
Feedback from customers, which also includes complaints, is considered an opportunity for improvement of our service. For this reason, we are open to all feedback, including complaints, and show an appropriate commitment during the processing of complaints and measures taken.
When responding to complaints, Mentorix should ensure that individuals are informed of their right to appeal the decision. If the complaint relates to exam results or decisions made by PeopleCert, Mentorix should promptly notify the candidate of their right to appeal PeopleCert’s decision in writing.
The appeal process follows these steps:
Recognition of appeal requests within 48 hours.
Initial, informal assessment of the appeal application to ensure completeness and try to resolve any issues.
The person conducting the initial assessment will have no prior involvement or personal interest in the appealed decision or its outcome. External investigators/assessors may be appointed as required.
Aim to complete the appeal review within 14 working days, with communication of the decision on that date. If the review process requires longer, the individual will be notified of the expected timeframe.
After the initial review, the decision is communicated either to change the original decision based on the appeal information or confirm the validity of the original decision, accompanied by the reason(s) for the decision.
If the complaint concerns exam results or decisions made by PeopleCert, the relevant links and documents should be shared with the candidate.
